Everyone can agree that you have to properly plan your work, then work on your plan in the smallest details. There are no doubts that a real progress in time management asks for a detailed plan. It must be written on a piece of paper, revised and updated on a regular basis. For a lot of people, this is actually a daily task. However, this is the primary goal of your activities.

From this point of view, make sure that your plan is adaptable. It should not just be constantly updated, but it should also provide detailed hints on what you have to do later today, tomorrow or a year from now. Therefore, it should be very accurate, especially when it comes to the immediate future. When you have to plan everything, there are both clear and unclear factors. The yearly budget is one of the clear aspects, while many others are hard to anticipate.

In a simplified version, I believe that such a plan represents a list of what has to be done, so it can include multiple entries.

  • Weekly plans
  • Engagements that show up on a regular basis
  • Detailed plans for the upcoming month

Just like you have probably guessed already, the perfect configuration depends on your working time frame. Some things are for sure though – the plan is clear and useful, but it also respects your daily agenda, tasks and responsibilities. How to order this list depends on your job or projects. It is, however, more important to know when and how to revise and update the plan. This is usually the basic factor for an iron discipline in correct time management. It also provides a lot of information to choose from – what to do, what to cancel, what to ignore, what to outsource and so on.

A good time management does not eliminate the necessity to make decisions, but it should make them faster and easier. With time, you will naturally train to make helpful decisions, only to gain as much as possible through the best method. You do not have to despair if your task has already begun and it looks complicated though. It might take more to build your plan, but it can just as well take a few minutes. I must admit that I am naturally very busy. My plan requires less than five minutes a day. However, it does help me against wasting valuable time with further planning.

How to properly plan your day, week or month

There are a few essential ideas that can make the difference in this case. Most people go through a specific time frame when their actions are reactive. Basically, they go through all kinds of things that cannot be predicted. They end up losing a lot of time on other circuits, so they risk ruining their plans. Such activities are not to be ignored, but the reverse affirmation is also correct.

For example, a sales manager will probably have to handle a lot of questions from important clients. They must be solved right away, but they will also obstruct other activities. It seems easy to avoid planning only because you know that your day is full of unexpected events. But then, it is obvious that you have even less time than others due to such events. Therefore, planning your day is not a random recommendation, but an actual necessity, only to maximize your time effectiveness.

If you already have some experience, you probably know already how much time you waste with reactive happenings. Therefore, allocate a specific duration for these events, then focus on the other daily activities.

In conclusion, everyone needs a plan. Everyone can benefit from a clear idea about what has to be done. If you do not have it, the few minutes you waste to develop a plan are clearly worth. Once you have it, you can adjust it overtime in order to be updated to your recent tasks and necessities.
